The Charter Coordinator for 417 Bus Line is responsible for coordinating with clients and drivers related to the scheduling of charter trips.
Key Responsibilities:

  • Receiving calls from customers, answering all inquiries and explaining rules and regulations regarding drivers hours
  • Prepare quotes and contracts for customers
  • Confirm details with customers prior to their trip
  • Work collaboratively with drivers to ensure they have all up to date information required for their trip, including overview of drivers log
  • Prepare and review drivers wages to be submitted to payroll
  • Issue and input invoices and receive payments from clients
  • Oversee fleet management, ensuring vehicles are prepared, clean and ready for each trip and regular maintenance is scheduled
  • Work closely with clients to ensure excellent customer service, including following up on surveys regarding their experience
  • On-call for inquiries from clients and drivers on the weekends for the Eastern region branches
  • Other duties as assigned

The successful candidate:

  • Fully bilingual in English and French, both written and verbal
  • Completed high school diploma, post-secondary education an asset
  • Minimum of 4 years of dispatching and or administrative experience
  • Experience in accounts receivable and or payroll would be considered an asset
  • Proficiency with Microsoft Office 365, particularly Word and Excel
  • Experience using a dispatching software is an asset
  • Comfortable working autonomously and as part of a team
  • Can time manage, multi-task, and work in a fast-paced office environment
  • Strong problem-solving skills and the ability to handle unexpected situations or challenges with calm professionalism
  • Excellent time management, self-regulation, and the ability to prioritize tasks effectively


  • Thursday to Monday with a compressed averaging of hours to allow for 1 week off after every 3 working weeks

Salary range: $55,000 – $65,000
